Allume Energy, a leader in solar energy technology, developed the SolShare – a world-first solar sharing system designed for apartment buildings. As the demand for SolShare units grew, Allume needed a centralised system to manage the manufacturing process and lifecycle tracking of each unit—from production to warehouse to installation. Flexbox Digital partnered with Allume Energy to deliver a robust custom application using Zoho Creator, while also implementing Zoho CRM and Zoho Desk to streamline operations, manage support queries, and ensure a seamless flow of data across systems.

Disconnected systems and manual processes hindered accurate tracking of SolShare units across the product lifecycle
Allume faced challenges maintaining a consistent and accurate view of their hardware distribution. Key issues included:
- Inconsistent synchronisation between the production database and Zoho CRM.
- Missing or incorrectly mapped SolShare units across deals and customer locations.
- Lack of automation to update unit statuses (e.g., from “Warehouse” to “Shipped”, and “Shipped” to “Installed”).
- Manual intervention required to upload and sync installation data.

Flexbox Digital worked closely with the Allume Energy team to understand their manufacturing and operational processes, then designed and implemented a tailored Zoho Creator application to:
- Track SolShare units throughout the production lifecycle – from manufacturing to dispatch, and final installation.
- Integrate with Zoho CRM – linking individual SolShare units to specific deals and addresses.
- Automate workflows – ensuring that hardware statuses such as “Shipped” and “Installed” are updated based on logistical data and deal events.
- Establish a two-way sync between the internal SolShare database and CRM, reducing the need for manual updates and increasing data accuracy.
